Terms & Conditions

Thank you for registering for the 2025 ReNU Hope Conference (the “Conference”). The following Conference Terms and Conditions (“Terms and Conditions” or “Terms”) apply to you and your participation in the Conference. Your Conference registration includes pre-Conference welcome events and activities on July 23, 2025, in-person programming on July 24, 2025, and post-Conference activities on July 25, 2025. For purposes of these Terms, “Attendee” will include all participants at the Conference, including Conference exhibitors, presenters, and speakers (collectively, “Exhibitors”), sponsors of the Conference (“Sponsors”), press, partners, Conference volunteers (“Volunteers”), and individual attendees. By purchasing access to the Conference, you agree to be bound by these Terms, so please read them carefully. For purposes of these Terms, “you” refers to the individual that registered for the Conference. You represent and warrant that you are 18 years of age or older and competent to agree to these Terms on behalf of yourself and any accompanying minor.

This Conference is organized and managed by ReNU Syndrome United (referred to as “ReNU Syndrome United,” “we,” “our,” “us”), which is a 501(c)(3) nonprofit organization. In its sole discretion, ReNU Syndrome United reserves the right to limit or deny access to any entity or individual. 

Code of Conduct

You agree not to copy or permit to be copied, performed, published, distributed, and/or displayed, in any form or format, any of the contents of the Conference program, or any other printed materials provided to you in connection with the Conference, without the express written permission of ReNU Syndrome United. You will not use the ReNU Syndrome United name and logo without express written permission from ReNU Syndrome United.

No solicitation is permitted except by Exhibitors within the confines of their booths. ReNU Syndrome United reserves the right to escort any individual from the Conference who is reported to be soliciting and who is not a Conference Exhibitor. 

You are expected to behave responsibly and professionally and to treat other Attendees and the community with respect, kindness, and compassion. Failure to behave in such a manner, as determined at ReNU Syndrome United’s sole discretion, may result in removal from the Conference without refund. Sponsors and Exhibitors will be held responsible for the conduct of their employees, representatives, guests, and contractors. You will be held responsible for your conduct and the conduct of your guests including any accompanying minors. 

Security

The Conference is a private event, and weapons are strictly prohibited. Attendees are forbidden from carrying weapons of any kind, including concealed or displayed firearms or knives, onto the premises of the Conference. ReNU Syndrome United reserves the right, at its sole discretion, without refund, to deny entry or continued participation in the Conference to Attendees who violate this policy. By registering for the Conference, you agree to comply with this policy, regardless of any signage located on the premises of the Conference. Your (and any accompanying minor’s) belongings may be searched upon entry into the Conference, and you consent on behalf of yourself and any accompanying minor to any such searches and waive any related claims that might arise against us, Long Island Marriott, or any of our affiliates. In addition, you may be required by us, Long Island Marriott, or such party’s agent to sign a Conference release and waiver or other legal document, on behalf of yourself and any accompanying minor, in order to gain access to the Conference. If you do not consent to these searches or sign the applicable Conference release and waiver, you and any accompanying minor may be denied entry or continued participation in the Conference and such denial of entry or continued participation will not be our responsibility. No refund or other remedy will be provided or available to an Attendee who is ejected or refused entry by us, Long Island Marriott, or any of our affiliates, due to disorderly conduct or failure to comply with these Terms prior to or following entry.

ReNU Syndrome United, Long Island Marriott, and their affiliates will not be held responsible for any loss, theft, or damage to Sponsor or Exhibitor displays or promotional materials. The Sponsors and Exhibitors are responsible for all of their respective table display, poster, and promotional materials during the Conference and should exercise reasonable practices to secure its display and promotional materials. Sponsors and Exhibitors are allowed to arrange for security to oversee their specific display and promotional materials at their own expense. Sponsors and Exhibitors are responsible for the setup and takedown of their respective exhibit display items. 

Publicity Release

By attending the Conference, Attendees agree to allow their names, likenesses, and images to be recorded over the duration of the Conference to be used by ReNU Syndrome United. On behalf of yourself and any accompanying minor, you hereby grant ReNU Syndrome United, and their assigns, licensees, successors in interest, legal representatives, employees, consultants, those acting with our permission or authority, and such persons and/or entities as we may designate from time to time (collectively, the “ReNU Licensees”) (i) the irrevocable, unrestricted right to take or record audio, pictures and/or video of you (the “Images”) at the Conference and (ii) a worldwide, royalty-free, fully paid-up, transferable, sub-licensable (directly and indirectly through multiple tiers), perpetual, irrevocable, and unrestricted right and license to perform, publish, distribute, display, create derivative works of, and otherwise use such Images, in any and all forms, media and manners now or hereafter known, without restriction as to changes or alterations, on ReNU Syndrome United’s website, social media channels and pages, and/or for educational, advertising, fundraising, publicity, promotion, or marketing purposes, without further authorization or compensation. You agree that the Images may be combined with other audiovisual works, photographs, text and graphics, and cropped, altered or modified. You hereby irrevocably waive, and release and hold harmless the ReNU Licensees from any and all claims or actions you may otherwise have for defamation, libel, invasion of privacy, moral rights, right of publicity, infringement, misappropriation, or those under any other theory of liability. You hereby waive any right to approve any Images, or any other works or materials which may incorporate the Images. You acknowledge and agree that you have no right, title, or interest in or to any Images, that you have no further right to any consideration or accounting, and that you will make no further claim against a ReNU Licensee for any reason in connection with its use of the Images, as permitted by the license granted hereunder. You represent and warrant that (i) if you are 18 years or older, you have read these Terms and are familiar with their contents, or (ii) in the case of an individual under the age of 18, (a) a parent or legal guardian of the individual has read these Terms and are familiar with their contents.

Photography & Videography Permission

Sponsors and Exhibitors agree to obtain permission from any Attendees (or in the case of an individual Attendee under the age of 18, a parent or legal guardian) before taking their photograph or video. Such Sponsor or Exhibitor will obtain written consent before sharing, posting, or using any photographs or video recordings in any communications. 

Waiver of Liability

By registering for the Conference, you (on behalf of yourself and any accompanying minor) assume all risks associated with, resulting from, or arising in connection with, attendance at, and/or participation, in any capacity, in the Conference or any Conference-related activities, including, without limitation, all risks of theft, loss, harm, damage, illness or sickness (including those caused by known or unknown infectious or communicable disease such as COVID, H1N1, or other illness or sickness caused by bacteria, fungi, microorganisms, or viruses), or injury to the person (including death) or property damage, whether caused by negligence, intentional act, accident, act of God, or otherwise, and whether occurring before, during, or after the Conference. 

You further acknowledge, agree, and understand (on behalf of yourself and any accompanying minor) that ReNU Syndrome United and all agents, officers, directors, members, or other representatives of the same exclude all liability for any loss, injury (including death), disease, or damage whatsoever that you (or any accompanying minor) may suffer in connection with or arising from participation in any activities offered as part of the Conference (including, without limitation, any activities held outside of, or incidentally to, the Conference that you are attending), whether the direct, indirect, consequential, special, incidental, exemplary, or punitive loss, injury or damage  (including, without limitation, injury or disease to persons, property damage, theft, loss of profits, loss of business, loss of opportunity, loss of goodwill, loss or corruption of data or any other type of economic loss, injury or damage) or otherwise. The limitations and exclusions in this paragraph apply to the extent permitted by applicable law.

Governing Law, Venue, Class Action Waiver, and Jury Waiver

You agree that any disputes related to your participation in and/or fees paid for the Conference shall be governed exclusively by the substantive laws of the State of New York without giving effect to any choice-of-law rules that might result in the application of a different state’s substantive law. You further agree that the mandatory, exclusive venue for any action related to your participation in and/or fees paid for the Conference shall be in a court of competent jurisdiction within the State of New York. You further agree that any action brought in these courts related in any way to the Conference, including without limitation your participation in the Conference and/or fees paid for the Conference, will be an individual claim, that you shall not bring claims against ReNU Syndrome United in a representative capacity on behalf of any other individual, that you shall opt out of any class proceeding, and that you shall not assert class or collection action procedures. You further agree to waive any right to a trial by jury for any legal action related to the Conference, including without limitation your participation in and/or fees paid for the Conference. 

Volunteer Release

Selected Attendees may be approved by ReNU Syndrome United to participate in the Conference as a volunteer (“Volunteer”) to assist with ReNU patient childcare, sibling childcare, logistics, setup, breakdown, or a combination of the foregoing, in connection with the Conference (the “Volunteering Services”).

By registering as a Volunteer at the Conference, you assume all risks associated with, resulting from, or arising in connection with, the Volunteering Services, including, without limitation, all risks of theft, loss, harm, damage, illness or sickness (including those caused by known or unknown infectious or communicable disease such as COVID, H1N1, or other illness or sickness caused by bacteria, fungi, microorganisms, or viruses), or injury or death to yourself or to any children in your care or property damage, whether caused by negligence, intentional act, accident, act of God, or otherwise, and whether occurring before, during, or after the Conference. 

You further acknowledge, agree, and understand that you will be solely liable for any loss, injury (including death), disease, or damage whatsoever that you or any children in your care may suffer in connection with or arising from your participation in any of the Volunteering Services, (including, without limitation, injury or disease to yourself or any children in your care, property damage, theft, loss of profits, loss of business, loss of opportunity, loss of goodwill, loss or corruption of data or any other type of economic loss, injury or damage) or otherwise. ReNU Syndrome United and all agents, officers, directors, members, or other representatives of the same hereby exclude all liability for any of the foregoing.

The limitations and exclusions in this Volunteer Release apply to the extent permitted by applicable law.

Exhibitor Release

Some Exhibitors may speak or deliver presentations in connection with the Conference (including any abstracts, biographies, headshots, or other materials that may be provided in connection with or accompany any such presentation) (collectively, the “Presentation”). To the extent Exhibitor is delivering a Presentation, in consideration for the intangible value gained by participating in the Conference, and for other good and valuable consideration, the receipt and sufficiency of which are hereby acknowledged, Exhibitor, intending to be legally bound, hereby agrees as follows:

  1. Exhibitor hereby grants ReNU Syndrome United and its affiliates, and their successors and assigns, a non-exclusive, worldwide, royalty-free, fully paid-up, transferable, sublicensable (directly and indirectly through multiple tiers), perpetual, and irrevocable license to copy, display, upload, perform, distribute, store, modify, and otherwise use Exhibitor’s Presentations to facilitate, promote, advertise, and market, the Conference and in connection with the lawful business purposes of ReNU Syndrome United.

  2. Exhibitor hereby consents to ReNU Syndrome United and its affiliates recording (including, but not limited to, photography and audio and video recording) Exhibitor’s Presentations. Any such recordings will hereafter be referred to as the “Recordings.” Exhibitor hereby grants ReNU Syndrome United and its affiliates, partners, and their successors and assigns (1) a non-exclusive perpetual worldwide right to use, edit, adapt, modify, transcribe, publish, reproduce, exhibit, perform, create derivative works from, distribute, display, license, or otherwise use the Recordings (and all rights connected therewith) in all forms and media, whether now known or later developed, throughout the world; and (2) the non-exclusive perpetual worldwide right to (a) use the Exhibitor’s name and provided biographical information in connection with the Recordings and (b) use the Exhibitor’s photograph, voice, likeness, and comments as depicted in such Recordings, in all cases in connection with facilitating, promoting, advertising, and/or marketing the Conference or the lawful business purposes of ReNU Syndrome United.

Sponsorship Agreement

The following Sponsorship Agreement applies to all Sponsors of the Conference. All Sponsors agree to view and comply with the terms & conditions, rules and regulations communicated by the ReNU Syndrome United staff, including but not limited to the ReNU Conference Terms and Conditions and this Sponsorship Agreement (collectively, the “Sponsor Terms”). The Sponsor Terms were developed by ReNU Syndrome United to safely and properly execute the ReNU Hope Conference 2025 (the “Conference”). The Sponsor will be held accountable for the behavior of all its representatives selected to participate in the Conference. It is the Sponsor’s responsibility to relay the Sponsor Terms to its staff and guests. Failure to comply with the Sponsor Terms will result in removal from the Conference and all fees submitted will be forfeited. 

Right to Reject Applications 

The ReNU Syndrome United non-profit and/or its agents reserve the right to reject any application for sponsorship or advertising associated with the Conference if, in the sole opinion of ReNU Syndrome United, it is determined that the product or service promoted by the Sponsor is a product or service that would negatively impact the reputation or goodwill of ReNU Syndrome United. 

Cancellation and Refund Policy 

Due to the commitment involved of the hosting organization and its vendors in organizing and executing the event, no cancellations or refunds will be granted. 

Sponsorship Donations

Donations received through any campaign are subject to redirection at the discretion of ReNU Syndrome United. Funds may be used towards operating costs, including but not limited to, technology services, event services, research into treatments, awareness campaigns, etc. All costs will be reported annually and publicly accessible.

No Solicitation

ReNU Syndrome United has a no-solicitation policy covering all of our conferences and expositions. We do not allow solicitation at our events by any attendees or unauthorized parties without prior written permission of ReNU Syndrome United. This policy includes, but is not limited to the following prohibited activities:

  •  Unauthorized receptions & parties (including off-site events)

  •  Unauthorized exhibits, mobile exhibits & hospitality suites

  •  Unauthorized membership recruitment activities

  •  Unauthorized promotion of non-Families ReNU Syndrome United events

  •  Unauthorized research recruiting

  •  Unwelcome advances toward event participants or the ReNU Syndrome United Board Members

  •  Unauthorized on-site distribution of printed or electronic materials including literature, signs, flyers, invitations, tickets, forms, etc. (except business cards)

  •  Any person and/or organization found to be violating this policy may be expelled from the event. No Refunds.

  •  Egregious and/or multiple violations of this policy may result in disqualification from future events at the discretion of ReNU Syndrome United.

Sponsorship Materials

Prior to the Conference, Sponsor shall deliver to ReNU Syndrome United copies of all logo designs, artwork, company descriptions, and marketing materials to be used for its branding, signage, literature display, in the Conference program (collectively with the trade names, logos, and trademarks provided therein, “Sponsor Materials”), by the specified deadlines communicated by ReNU Syndrome United. Sponsor grants ReNU Syndrome United the right to use the Sponsor Materials, in any medium of advertising, marketing materials, and/or promotional goods and/or services distributed in connection with the Conference. 

Sponsor warrants that the use of Sponsor Materials in accordance with this agreement does not violate any third-party intellectual property rights, and agrees to defend, hold harmless, and indemnify ReNU Syndrome United for any claims or action brought against ReNU Syndrome United, or their respective officers, employees, partners, or agents, and any damages, losses or costs incurred by ReNU Syndrome United, or their respective officers, employees, partners, or agents, including court costs and reasonable attorney’s fees, arising from or related to any dispute concerning ReNU Syndrome United’s use of the Sponsor Materials, except for claims arising from ReNU Syndrome United’s unauthorized use.

Sponsor will not use the ReNU Syndrome United name and/or logo without express written permission from ReNU Syndrome United. Sponsor agrees to acknowledge ReNU Syndrome United in any of Sponsor’s communications with third parties relating to the Conference. 

Changes to Terms & Conditions

ReNU Syndrome United reserves the right to update or modify the Sponsor Terms at any time without prior notice. Sponsor’s continued participation following any changes indicates Sponsor’s acceptance of the new terms.

Indemnification 

The Sponsor agrees to indemnify, defend, and hold harmless ReNU Syndrome United, its board members, committees, agents, contractors, the State of New York and The Long Island Marriott, for any claims, liabilities, damages, expenses, and attorney’s fees and miscellaneous expenses of any sort, arising from any procedures or lack thereof, negligence of the Sponsor and its officers, directors, employees, agents, contractors and guests, including without limitation, claims of property damage or loss and injury or harm to persons due to violating the Sponsor Terms, rules, and regulations, or damage of any kind caused by Sponsor’s installation, use and dismantling of furniture, hardware, or any materials at the Conference. The Sponsor also agrees to release from liability ReNU Syndrome United, its committees, executive board members, agents, contractors or employees, the State of New York or The Long Island Marriott any damages, theft, loss, injury, or harm to a person or to Sponsor’s property, or its officers, directors, employees, agents, contractors and guests due to fire, flooding or any other accidental cause. 

Code of Conduct

By attending the event, the Sponsor acknowledges that the Sponsor has read, understands and will abide by the policies set forth by the ReNU Syndrome United Board of Directors. 

With so many ReNU families attending we want to take a moment to remind the Sponsor that living with ReNU syndrome is a journey.  Each of the families attending may be at a very different place on their journey. Some will be eager to learn as much as they can while others may be extremely overwhelmed.  The Sponsor will likely not be able to make that judgement call, so we ask that Sponsor:

  • treat every single guest with respect

  • let them guide the amount of information they take away from meeting you

  • allow the people to approach you or your table to indicate interest

  • listen and be kind

  • do not ask them for anything, only give information

Offsite Waiver and Release

In consideration of attending and participating in the ReNU Hope Conference’s Pre-Conference Family Event held at The Long Island Children’s Museum and the ReNU Hope Conference’s Family Outing held at Eisenhower Park and/or Northwell Health (the “Conference Offsite Activities”), I hereby understand and agree on behalf of myself, my children, my heirs and beneficiaries, executors, and administrators, that neither ReNU Syndrome United, its affiliates nor their respective program staff, program leaders, officers, administrators, volunteers, directors, agents, employees, representatives, and successors and assigns (collectively the “Covered Parties”) shall be held liable, or responsible in any way, for any claims, actions, causes of action, suits, judgments and demands, or any damage to personal property, personal injury, death or damage of any kind or nature as a result of or relating directly or indirectly in connection with my participation in the Conference Offsite Activities or any other activities relating thereto or conducted by the Covered Parties in connection therewith. I hereby assume full and complete responsibility for any injury or accident which may occur during the Conference Offsite Activities or as a result of the negligence, whether passive or active, of any party, including Covered Parties.

I understand that participating in the Conference Offsite Activities, including any related travel, involves certain inherent risks, including but not limited to, the risk of possible injury, loss of life or other loss as a result of risks inherent to participating in public speaking, programming, events and travelling generally. Despite the risks, I still choose to participate in such activity. I personally assume all risks whether foreseen or unforeseen, in connection with the Conference Offsite Activities of any harm, injury or damage that may befall me as a participant in the Conference Offsite Activities. It is my specific intention that none of the Covered Parties shall have any liability whatsoever as a result of or in connection with my participation in the Conference Offsite Activities. I hereby waive any claims that I might have against any Covered Parties and release all Covered Parties from any such liability and I agree to indemnify the Covered Parties against any such claims. In addition, I hereby give my consent to ReNU Syndrome United, and all other Covered Parties, to provide, through medical staff of its choice, such medical attention, transportation and emergency medical services as may be warranted in the course of my participation in the Conference Offsite Activities or in any other activities relating thereto. If I am injured or become ill during my participation in the Conference Offsite Activities, I authorize any duly licensed physician or dentist to perform such emergency treatment as he or she believes, in his or her sole judgment, may be necessary. Notwithstanding the foregoing, I understand and agree that none of the Covered Parties have any obligation whatsoever to provide any such medical attention and the lack of any such medical attention or the provision thereof on a voluntary basis shall be covered by the waiver and release set forth in this paragraph.

I HEREBY RELEASE AND HOLD HARMLESS THE COVERED PARTIES FROM ANY CLAIM OR LAWSUIT FOR PERSONAL INJURY, PROPERTY DAMAGE OR WRONGFUL DEATH, BY ME, MY FAMILY, ESTATE, HEIRS OR ASSIGNS, ARISING OUT OF MY PARTICIPATION IN THE CONFERENCE OFFSITE ACTIVITIES, INCLUDING BOTH CLAIMS ARISING DURING THE CONFERENCE OFFSITE ACTIVITIES AND BEFORE OR AFTER THEY ARE COMPLETED, AND INCLUDING CLAIMS BASED ON NEGLIGENCE OF OTHER PARTICIPANTS OR THE COVERED PARTIES WHETHER PASSIVE OR ACTIVE. I HAVE FULLY INFORMED MYSELF OF THE CONTENTS OF THIS LIABILITY RELEASE AND ASSUMPTION OF RISK.

By registering and attending this event, I represent and warrant that I have read and understood this Offsite Waiver and Release Form and am familiar with its contents and further understand that the terms herein are contractual and not a mere recital, this instrument is legally binding and I have reviewed and agreed to these terms and conditions of my own free act. I further represent and warrant that I am either (i) 18 years or older and competent to agree to this Waiver and Release, or (ii) in the case of an individual under the age of 18, a parent or legal guardian of the below-identified individual with the authority to enter into this Waiver and Release on behalf of such individual. I understand this Waiver and Release shall survive the execution and delivery hereof and shall be binding on me, my legal representatives, heirs and assigns.

Furthermore, if I am the parent or legal guardian of a minor or another attendee and have the legal authority to execute the above release on behalf of that person or those persons. I approve the foregoing and waive any rights to contest the forgoing.
